Duties and Responsibilities: The Administrative Assistant provides general clerical support, support to the Office Manager, and handles projects as assigned by the executive officers.
More specifically, duties and responsibilities include but are not limited to the following:
Requirements:
- Provide excellent telephone coverage including receiving, screening, and directing incoming calls, as well as redirecting mail and faxes.
- Receive visitors and maintain the front desk.
- Pick up and drop mail and Fed Ex.
- Respond to requests for information and job inquiries.
- Manage databases and filing systems.
- Plan and implement mailings for fundraising.
- Maintain log of all donations received.
- Maintain fax and copy machine supplies.
- Process applications for Russian visas, including delivery and pick-up.
- Proofread and edit correspondence, newsletter articles, reports, brochures, and other written materials.
- Inventory, research, and order office supplies.
- Assist in shipping and receiving of all packages.
- Facilitate new employee orientation.
- Other Projects as Assigned.
Starting Salary: $22,000-$25,000 plus excellent benefits

The Productivity Enhancement Program (PEP) is currently seeking a qualified candidate to fill a Program Officer position in its Russian Operations department at CCI's office in San Francisco, CA. Operated by the Center for Citizen Initiatives (CCI), PEP is an adaptation of the historic Marshall Plan's Technical Assistance Program, which helped resurrect post-World War II Europe. PEP brings non-English-speaking Russian manufacturers and business owners in a variety of industries to the United States for intensive training in American firms and plants. PEP is a cost-sharing program, with funding from the United State Information Agency, in-kind contributions from American volunteers, and fees paid by Russian participants. Duties and Responsibilities: The Program Officer - Russian Operations / Travel Coordinator provides support to the Russian Operations department, maintains a Russian participant database and coordinates all travel arrangements for PEP participants coming to the U.S. for business management training. The department is responsible for communication with PEP's seven regional offices in Russia, screening and selecting candidates for participation, and working with regional offices for all Russia-side program preparations.
Responsibilities include:
Requirements for the position include:
- Provide administrative and program support to the Russian Operations department;
- Maintain a complex database of Russian participants, including: searching and processing of Russian participant records; editing biographical and other data; modifying layouts and refining procedures in conjunction with program management;
- Work with regional offices in Russia to ensure quality and timeliness of information;
- Track statistics and perform periodic updates of participant listings;
- Assist Program Manager and department with selection and verification of Russian program participants. Track changes to delegations and pre-travel preparations;
- Serve as main liaison between PEP and travel agency. This includes: coordinating all travel arrangements for participants and some staff, making reservations, confirmation and adjustment of travel plans, invoicing and tracking of travel costs, developing and refining procedures in conjunction with program management. Should be available for trouble-shooting on delegation travel dates;
- Provide documentation for participants, facilitators and staff in preparation for delegations;
- Other projects as assigned
Salary Range: 27,000 - 28,500 (DOE) plus excellent benefits

- Macintosh computer proficiency (Microsoft Word, File Maker and Excel), knowledge of FileMaker Pro is required;

- knowledge of travel industry and group reservation procedures is strongly preferred;
- knowledge of economic/ political situation in Russia and Russian language skills are a plus;
